Connecting Indigo8 with Xero

Indigo8 allows you to connect to your XERO account so that you are able to send invoices, credit notes and payments to Xero with a click of the mouse.

We can send wholesale, point of sales and online orders to certain accounts. 

 

Before starting out, you will need to connect your Xero account with Indigo8.

 

You will also need your list of chart of accounts within XERO to link up were your invoices and credit notes will be sent to. 

 

1. Creating a connection between Indigo8 and Xero

Click the Settings tab and click into Accounts

Select your Trading Entity that you wish to connect.

 

Select the preferred option on the XERO Tax Types. 

Australian orders are normally set as GST ON INCOME. International currencies are normally slightly different. 

Click Save once selected. 

Also ensure you select XERO TYPE as Partner

2. Once this has been set up for all your trading entities you will need to set the connection between the 2 systems. 

Click Connect to XERO. 

Select your XERO connection such as Indigo8 Australia Pty Ltd - this will normally be your business name.

Click Connect to Selected Xero Account and follow the appropriate prompts. 

 

3. Entering sales account numbers 

Once point 2 is done, you should be ready to start the exporting process.

On the black bar click into Accounts

 

 

4. Then click the tab called Export Invoice to Accounts.

Select your trading entity in which you want to send across. 

Ensure your export format is set as XERO API FULL. 

 


5. Open up your XERO account and locate your chart of accounts. 

Find your sales account and locate the code. 

 

Open up the system and enter the sales account number in under sales acc#.  This means that when exporting all the invoices across, it will automatically send it to that number.

Under extras you can also enter an account #. This is normally items such as freight or any extra items that appear on your invoices. 

Under discount you can also enter an account #. This is normally were you want to keep track of your discounts. 


Once done don't forget to hit SAVE. This means if you need to export your invoices again, you do not need to enter the sales account# each time.

 

Please note:

  • You can enter your sales acct # based on either by customer, parent company & division. Talk to an Indigo8 Member to understand this a bit more.

  • You will need to follow the above process if you have ≈ trading entities within the system. Don't forget to hit save after you have entered your sales account numbers. 



6. Ready to export invoices

Important: Ensure that the customer name that exists in Indigo8 is exactly the same as in XERO. If the customer name is slightly different XERO will create a new customer record. 



Selected the order type you wish to export. We break this down by order type and also invoices & credits.

Hit search once selected. 

STD > Stands for wholesale | WEB > Stands for website | POS > stands for point of sales (store invoices) | SMP > stands for sample invoices

 

7. Click the checkbox at the top to select all the invoices. Please note you will need to export your invoices per page if you have over 50 invoices. 

 

8.  Select Export Selected Invoices bottom right corner. 

 

 

The below pop up will appear.

 

Once successfully exported the below message will appear. Click close once done.

 

9. Now open Xero in your web browser. When you login you will be taken to the home page for your account in Xero, also known as your dashboard. You will see that the invoices that have been moved from Indigo8 Lite are currently waiting in Draft Invoices. Click on Invoices owed to you above it

 

10. You will be taken to a new window click on the Draft (3) button

 

 

11. You will be taken to a new screen where you will see the invoices and be able to manage them. You might like to approve them at this point.
