How to use the Inventory Tracker

The Inventory Tracker is used to investigate the movement of stock.

Step-by-step guide

  1. Click Warehouse on the right hand arrow

  2. Click Tracker at the top of the screen

3. Once you click Tracker a pop-up window will appear that looks like the below:

4. There are multiple search fields at the top of the Tracker:

Style Number - Searching by style number allows you to see all stock movements made. You can then filter your search even more by populating the below search fields.
Colour - If your style has multiple colours but you are only investigating a particular colour, then you can select it from the drop down once you have typed in your style number and selected it.
Size Range - To narrow your style search further you can search for size range also
Warehouse - Searching the warehouse allows you to narrow your search to a specific warehouse
To and From Dates - Entering dates allows you to search a specific time frame only

5. Below shows what the Tracker looks like when searching for style number only. It can be overwhelming at first due to the stock movements being listed for all warehouses, dates, sizes and all colours in that particular style.

6. There are a number of columns on the Tracker. In order to successfully read the tracker you need to understand what each column is. See below for an explanation of each column.

  • Style - This the style number

  • Colour - This is the colour of the style

  • When - This is the date and time of when the particular stock movement has occurred

  • Action - This shows what screen the stock movement has been made from and includes any SO, PO or Invoice numbers related to that movement. Some examples of how the actions appear on the tracker are:

  • Arriving a PO - Using manual or auto check-in when arriving a PO

  • Updating Stock Levels - Manually adding or adjusting stock in the warehouse

  • Transfers - Transferring stock from one warehouse to another

  • Updating Stock via Import - Importing stock from excel using different options on importer

  • Invoicing - When an invoice is created and stock is deducted or when drop ship is used and stock is deducted but no invoice is generated

  • Void Invoice - When an invoice is voided or made active again

  • Sizes - This shows a breakdown of the style’s size range by showing each size in that range

  • Before Change - This is the style's stock quantity before the action took place. The quantities of each size is shown in the same order as the size’s are listed in the 'Sizes' column.

  • After Change - This is the style’s stock quantity after the action took place. The quantities of each size is shown in the same order as the size’s are listed in the 'Sizes' column.

  • Variance - This shows the difference in stock levels after this action has taken place.

    • A negative number indicates stock has been reduced

    • If stock is increased it will just show the number

  • Total Pcs - This shows the total that stock was increased or reduced from the action taken

To see the last columns listed, you will need to scroll across.

  • Actual Price Sold - Typically indicates the price in which an item was invoices at and should appear on invoiced transactions

  • Changed By - Indicates the user name completing the action

  • Screen - Tells you which screen the action was completed on

  • Reason for Change - When transferring or adjusting stock you may want to record the reason why this change is being made so that appears on the tracker

7. To see further details you can click on the action taken and a pop-up window will appear. This will show all information about the action on one screen.

  • This is where you can see if a Drop Ship Invoice was used

  • Here is where you will see if a setting was selected to not add or not deduct inventory during an action
